Tax Assistant II
ESSENTIAL JOB FUNCTIONS 1) Processing and Reporting Processing and applying payments, including but not limited to electronic payments and manual payments relating to current and/or delinquent tax collections. Processing tax sale redemption payments, including but not limited to electronic payments and manual payments, as directed by the supervisor. Identifying and processing exceptions and following through to a resolution. Assist in the processing of funds related but not limited to bankruptcy payments, tax sales, and tax sale voids, as directed by the supervisor. Balancing and reviewing sessions for approval. Performs administrative tasks associated with the processing of payments which includes but is not limited to preparing daily registration transmittal reports, assisting with daily balancing for posting to the general ledger. 2) Customer Service Demonstrates professional customer service, verbal and written. Initiates and follows through to an issue/exception resolution. Gauge, anticipate, react and meet the needs of but not limited to, taxpayers, supervisor, coworkers, other departments, outside agencies and other individuals to create a positive environment. 3) Research Identify issues/exceptions derived from but not limited to, taxpayers, mortgage companies, title researchers, coworkers, supervisor, attorneys, etc. Research issues/exceptions such as, but not limited to, payments, refunds, billing charges, returned mail, unbilled accounts, addresses, etc. Use tools such as, but not limited to, Manatron, South Carolina Code of Laws, internal department files (hardcopy or electronic), legal records, etc. to follow through to a resolution. Communicate follow through or resolution of issue/exception to affected parties. 4) Communication Verbal and written collaboration with but not limited to supervisor, coworkers, other departments, outside agencies, and other individuals as needed to create an affective team environment. Verbal and written communication complies with client's policies and procedures. 5) General Responsibilities Cross training in other functionalities as appropriate and directed by supervisor to provide assistance to other employees or departments as needed. Coordinates new staff and peer training. Maintains change drawer which includes but is not limited to issuing change as appropriate. Exhibit flexibility to meet demands of the Office including, but not limited to, working in another branch, couriering bank transfers, etc. Maintaining working knowledge of office technology including, but not limited to, personal computers, general office equipment, and software such as Microsoft Word, Excel, Outlook, etc. Maintains a comprehensive, current knowledge of applicable laws and regulations; reads professional literature; attends training sessions as appropriate. Prepares documentation, hardcopy and electronic, and records as directed by the supervisor. Maintains file system, hardcopy and electronic, of pertinent files and records as directed by the supervisor; which includes but is not limited to preparing and organizing documentation and files in a designated order; retrieving/replacing files, shredding/destroying confidential or obsolete documents. Perform general clerical tasks including but not limited to answering telephone calls, making copies, sending/receiving faxes, sending/receiving emails, etc. Performs other related duties as required.
High School diploma or GED; college degree preferred; supplemented by 4 year previous experience involving office administration, customer service, cashiering, basic bookkeeping, computer programming, personal computer operations, to include Microsoft Office, and general office equipment.
