Job Description: Clinical Intelligence (CI), a leader in healthcare consulting since 2001, is seeking a professional and experienced accounting and administrative assistant. This position is based out of the company’s corporate headquarters located in Hilton Head, SC, although CI’s team of employees and roster of clients stretches throughout the United States. The right candidate must be willing to take a “hands on” and “can do” approach to the tasks presented in this dynamic, fast-paced industry. The position is for +/-32 hours per week with health and 401K benefits. Salary is dependent on experience. The position reports to Director of Operations. The breakdown of duties is roughly comprised of 70% accounting responsibilities and 30% administrative responsibilities, although this may vary. Accounting Responsibilities: • Process and reconcile a wide variety of accounting documents including invoices, vendor bills, timesheets, payroll statements, cash receipts, inventory and other journal entries • Prepare and process appropriate documents for deposits • Assist with tax preparation, insurance renewals, update policies/procedures • Compile and review of information for accuracy and maintenance of records • The daily coding of all income and expenses into QuickBooks on-line from electronic checking and credit card uploaded transactions for two books of business • Pay bills via online banking • Maintain multiple Excel spreadsheets required for accounting tracking and reporting purposes • Sort, total and copy all documents required including employee timesheets and travel expense reports to process bi-weekly payroll and invoicing • Input bi-weekly payroll for Director to process • Prepare bi-weekly and monthly invoices for clients including all documentation necessary for company travel reimbursement • Sort, scan and file all monthly expense receipts (electronic and hard copy) • Complete other accounting work as assigned Administrative Assistant Responsibilities: • Assist with the preparation of client/prospect-facing documents and updating CRM • Schedule and organize all travel needs for the company President and other select employees to include car service, air travel, hotel booking, itinerary and maintain travel calendar • Support human resource services (e.g. onboarding, annual compliance, and benefit management) • Monitor and maintain HIPPA compliance and audits • Maintain client contract files in electronic format as well as hard copy format • Keep all files current (electronic and hard copy) • Some of the above items are required to be performed for two companies • Complete other administrative work as assigned


• Candidate must be proficient at QuickBooks (on-line preferable) and all Microsoft Office programs with special attention to Excel and Outlook
• Candidate must be extremely detail oriented, ensuring that all expense reports, timesheets and invoices are correct
